We've been using the Kanopy Smart PDA since it came out and have been very
happy with it. We too use a number of other services. We really only use Kanopy
for classroom use if requested by faculty or for research projects. We don't
have it open for personal or pleasure viewing. We have always stayed within our
budget especially with the help of our Kanopy rep. I find it to be a great
service and our TS folks find them easy to work with too.

Hi everyone,
In response to Chris's email about Kanopy:
At the University of Mississippi, we have been using Kanopy in some capacity
since ~2018. Growing streaming video interest and desire to meet this need in a
sustainable way led us to explore the SmartPDA model in February 2021, and then
commit $30k to SmartPDA at the next fiscal year (July 2021). We are still using
it with the same amount allocated, and we have been able to provide access to
all requested videos. We've stayed within budget without any concerns (much
easier than "normal" PDA) and reduced the amount of employee time spent on
Kanopy streaming relative to a mediated/a la carte approach (less time ordering
videos, monitoring expenses, and discussing balance of costs/needs). We
continue to larger conversations about streaming video costs, but we've been
happy with SmartPDA's ability to accomplish our objectives: staying within set
budget, manageable workloads/workflows, continued positivity from users.
Extra details in case they are helpful:
* We previously experimented with "normal" PDA which pushed our spending
towards $50k (not sustainable) and a la carte (faculty requests and subject
librarian purchases) which had low ROI relative to PDA and still had other
problems (titles not used or used only once, more time-intensive, less cost but
still budget-challenging)
* The way we operate SmartPDA is not entirely hands off. We have a good
number of videos visible to users but still require a request to view (sorry,
forget their term for this). We immediately add these titles to the SmartPDA
pool. We discussed making more videos immediately available but have hesitated
because of financial concerns.
* We have been averaging expenditures around $22-24k of our annual $30k
commitment. While Kanopy has asked us to adjust our pool to close that gap, we
have preferred to use that gap to acquire content perpetually or through
upfront 3-year licenses (e.g., videos that have had repeat license purchases or
direct faculty communication that it's needed for multiple years). They
recently announced changes that I'm not sure if/how will affect this approach.
* When we started the program, we spent time curating the initial pool.
This included removing all content that we had available through other
providers. The challenge here has been staying updated on when a title becomes
duplicated (either appearing in Kanopy when we have elsewhere, or being added
to another company's catalog). However, we've only had 2-3 of these duplicate
purchases once everyone in our workflows became familiar with are various
streaming video options.
* One criticism I have had is that new titles may be added that I don't
want in the pool (sorry BBC television shows). I continue to curate (either
manual, or emailing for a more mass-removal approach) since the initial pool
was established, but it's not systematic/consistent, and those titles being our
pool have not taxed our budget. It does cause internal questions/concerns about
having what may be viewed as a recreational title in our pool when not
specifically asked for by users (e.g., faculty, film club).
I'd be happy to answer any questions, and interested to hear others'
experiences.

Good afternoon, everyone!
Kanopy is ?encouraging? us to move to a SmartPDA model. Currently, we curate
the collection relatively closely and purchase licenses on an a la carte basis,
with preference for perpetual access, where available. Our usually spend per
year (post-COVID) is around $55-$60. For those of you have had SmartPDA for a
while, what has been your experience? Any lessons learned? While I understand
the desire to reduce workloads and renewals (and mitigate the invariable
mistakes and/or oversights that might arise), we have preferred to maintain a
patron-driven approach on an as-needed basis. We have also found that about 40%
of our Kanopy requests are available via one of our other streaming services
(e.g., Projectr, Alexander Street Press, or Docuseek).
