Hey Kudzu Folks:

During our last Kudzu-Ops conference call, we discussed one of the items in the Kudzu ILL Policy & Procedures document to see if it reflected current practices.  See http://www.aserl.org/programs/aserl-wrlc-ill/kudzu-ill-policy/ for the full text of the current policies/procedures.  These have been in place for nearly 15 years with little/no revision over time, so we felt it was worthwhile to review the following item:

CURRENT -- In effect since 2001:
"8. The borrowing library is responsible for any returnable material from the time it is shipped to the borrower until it is returned to the lender. If damage or loss occurs, the lender may request replacement or compensation. There will be no other library to library fees associated with this agreement, including overdue fines or nonrefundable processing charges. The borrowing privileges of a Kudzu library may be suspended only as a last resort."

Most of the people on last week's call indicated their library had instituted some kind of processing charge in the past few years to cover the cost of ingesting replacement copies of items that are lost/damaged.  Based on that discussion, I agreed to draft a slight modification to the above policy, as follows:

PROPOSED REVISION -- January 2015:
"8. The borrowing library is responsible for any returnable material from the time it is shipped to the borrower until it is returned to the lender. If damage or loss occurs, the lender may request replacement or compensation and/or processing charges. There will be no other library to library fees associated with this agreement, including overdue fines. The borrowing privileges of a Kudzu library may be suspended only as a last resort."

Please reply to the list (kudzu-ops [at] aserl-lists.org) with your reactions to this proposed change.  Your feedback is needed by FEBRUARY 13.  Please be candid.

NEXT STEPS
1) Shirley Thomas (VCU) has volunteered to work with me to review the full text of the policy to ensure it reflects current practices and needs.  Other volunteers are welcome -- please drop me a line (jburger [at] aserl.org) if you are interested in helping with this task.  If we find other items we feel need review/revision, we will post that information to this email list.

2)  All proposed changes must be reviewed/approved by the library deans/directors at Kudzu libraries.  We will compile any proposed changes and submit them for review/approval -- anticipated for March 2015.
