Kudzu Friends: Below are notes from our conference call a few weeks ago. Please let me know if I missed anything significant. ALSO: You may have seen a survey request sent to the aserl-ILL list about the
use of copyright/fair use principles within Resource Sharing operations. If you did not receive it, here is the survey: http://bit.ly/1e6JUb0. We seek your replies by 28 February. All responses will be kept confidential,
and will be used to design additional programming for ASERL libraries. Please let me know any questions. Thanks! ____________________________________ Conference Call Notes Kudzu Operations Team January 14, 2014 Participants Auburn: Pam Whaley East Carolina: William Gee Johns Hopkins: Deborah Slingluff, Sandy Jackson UAB: Eddie Luster U-Alabama: Cornelia Davis U-Central Florida: Kristine Shrauger U-Kentucky: Barb Hale U-Louisville: Melissa Horrar, Andy Huff U-Miami: Steve Roberts, Veronica Cabrera, John Sandoval, +1 UNC Charlotte: Ann Davis UNC Greensboro: Gaylor Callahan U-South Carolina: Amber Cook U-Tennessee: David Atkins, Tracy Luna Vanderbilt: Jim Toplon VCU: Shirley Thomas Wake Forest: James Harper ASERL: John Burger, Cheryle Cole-Bennett 1) Call to Order: John Burger convened the call at 11:01am, welcoming all participants and taking role call. 2) Resource Sharing Best Practices Survey: David Atkins & Pam Whaley reported the findings from the survey they conducted in Fall 2013. This was largely a reprise of the 2010 survey and allowed some comparison of results over
time. • In 2010, response rate was 84%; in 2013 = 74% of ASERL libraries responded. • Fill rates increased 11%. • In 2010, libraries borrowed 55% physical items, 45% electronic content. This was reversed by 2013 (55% electronic, 45% physical items). Barb Hale noted they are seeing more requests for chapters – which would be posted as e-content.
• ILL staffing levels have declined since 2010. In 2010, 24 ASERL libraries had more than 1 degreed professional working in Resource Sharing; this declined to 17 ASERL libs more than 1 degreed professional working in Resource Sharing
in 2013. Fewer people are doing more work, largely thanks to technology improvements. The group expressed skepticism this trend could continue indefinitely. • 100% of ASERL respondent are using ILLiad, most are also using Rapid.
• Respondents reported a decreased need for training, thanks to systems that are more intuitive to use. • More than 90% of ASERL libraries are providing some kind of campus delivery service in 2013. Of those, 100% offering campus delivery for faculty, 75% for graduates, 46% offer to undergraduates.
• In 2013, ILL staff reported their biggest challenge was licensing resources; this was middle of the pack in 2010. • More people thought staffing/equipment costs were an issue in 2013 than in 2010. • Respondents noted an increased complexity of requests due to e-resources – these require a more expert work force.
• Many ILL teams reported their staffing was involved in some kind of re-organization within the library, e.g., merged with Circulation and Reserves. John Burger noted that this information was distributed as part of the ASERL Directors meeting in November. Discussion there focused on resource sharing is doing more with less. It was noted there are tipping points. There was some
concern about sustainability of thinly-staffed teams for the future. David Atkins, Pam Whaley, and Judy Greenwood will be publishing these findings soon in (Journal Name?) They may also create a webinar to discuss findings in greater depth.
3) Interest in Reprints Desk? John Burger has been contacted by Reprints Desk about a group discount offer for ASERL. Many in the group were familiar with their service, but were concerned that RD does not currently inter-operate
with ILLiad. John noted the integration was under development. The group asked for a demo once ILLiad integration was complete. [NOTE: The ILLiad functionality should be available by March 2014; more info to be presented at ILLiad User Conference in Virginia
Beach.] 4) William Gee asked about interest in a trial of ReadCube. ECU is testing its use with Nature Publishing Group titles. U-Kentucky is doing the same. It was noted that patrons have to download software to use the system – seems
onerous & clunky. 5) John noted that the ASERL ILL Agreement was expanded to include WRLC a year ago. How’s it going? All sites reported smooth integrations and good response rates from WRLC partners.
6) John also noted a few recent service problems had arisen with Lanter Delivery – some missed delivery days, some days with drop-offs but no pick-ups (and vice versa), items not held during the holiday break, etc. The group
noted they had seen lots of turn-over in the drivers -- sometimes multiple new drivers within a month, leading to disruption and lack of communication. John asked Lanter sites to report ALL service problems to him so he can understand the scope of the problem
and attempt to resolve the issues. John asked for volunteers to document processes for use of Lanter courier, to aid in consistency of service. Volunteers included Amber Cook (U-South Carolina), Tracy Luna (UTK), Andy Huff (Louisville), Cornelia Davis (U-Alabama),
and Judy Greenwood (Ole Miss). John will also post a call for volunteers to the kudzu-ops listserv. John also noted that ASERL’s contract with Lanter is coming up for renewal later this year. The group discussed changes they would like to see in a future agreement, including a specified window of time for deliveries, and increased
limits for lost/damaged items. John will review recent RFPs for statewide courier contracts from Tennessee and Kentucky to see types of services requested. 7) Open Mic / Announcements • Farewell to Ronald Figueroa, who is leaving U-Miami for Syracuse University. • John noted ASERL’s Scholarly Communications group was seeking a webinar on copyright / fair use specifically for resource sharing environments – watch for this later this Spring. • The group requested a webinar on e-resource licensing tips and tricks, as this is becoming increasing important in their roles. • Barb Hale thanked those who responded to her recent question about planetary printers. • William Gee asked if other libraries were getting materials back with the borrowing library’s band still on the item. Does this mean the patron didn’t pick it up? Or are libraries changing their process, to not remove bands before
returning. No clear answer – just a curiosity. 8) Adjournment: Meeting was ended at 11:48am ET. --jeb John Burger, Executive Director Association of Southeastern Research Libraries ASERL Box 90182 / 411 Chapel Drive 125 Bostock Library Durham, NC 27708 919-681-2531 – telephone 919-681-0805 -- fax Follow ASERL on Facebook: http://on.fb.me/Ziuz2a Find me on Twitter: https://twitter.com/ASERLJEB |
