AGENDA

1)    Welcome & Roll Call 

John Burger convened the call at 2:30pm and took roll call (see above).

 

2)    Best Practices Survey

John Burger discussed the resource sharing “Best Practices” survey being conducted by David Atkins (UTK), Judy Greenwood (U-Miss), and Pam Whaley (Auburn). 

·         Approximately 22 ASERL members have responded to the survey, compared to 36 responders last year. 

·         David submitted a preliminary review of responses via email.  Findings indicate that Resource Sharing departments in ASERL are doing more with less, showing declining staffing numbers and increasing lending volumes.  In addition, traditionally non-ILL duties are being assigned, such as campus-wide document delivery. 

·         Reorganizations also seem to be the norm, with over half of responders indicating a departmental reorganization (examples include combining Circulation, ILL and/or Reference).

·         The survey will be re-sent to non-responders with a message from John to encourage participation.

 

3)    Stats Update

John reported that the most recent stats have been posted to the website.  There was some interest expressed in conducting an assessment of the Lanter statistics over the past few years.  Cheryle Cole-Bennett agreed to run a comparison of the statistics for the group.

 

4)    Lanter Delivery Update / Service Check-In

William Gee from East Carolina University affirmed they will no longer be participating in the Lanter service as of July 31.  John asked members to please report any problems/issues/concerns with the Lanter service to him and he will work with Lanter to resolve the issue.  Some Lanter contractors were not aware that they were to make deliveries 5 day/week.  Lanter appears to be quite responsive when problems are reported.  Cornelia Davis indicated that service had improved following a recent inquiry.  Gaylor Callahan (UNCG) indicated that some of their drivers were not signing the manifest. John will report this to Lanter.

John also noted that once he has reported an issue, he may not receive an update on the situation – so please let him know when an issue has been resolved, or if it is ongoing.

 

5)    Discussion:  ASERL Shared Print Projects – Effects for Resource Sharing?

John provided an overview of two shared print projects – the Collaborative Federal Depository Program (CFDP) and the Journal Retention Program (ScholarsTrust).  He noted the implications for resource sharing in that these programs provide a trusted source for both archived government publications and archived journal content.  More information about these program is available on the ASERL website – CFDP, Journal Retention Program as well as ScholarsTrust.

 

6)    Open Mic / Anything Else?

·         Barb Hale (University of Kentucky) asked if anyone had upgraded to ILLiad 8.4.  The University of Mississippi, Virginia Commonwealth University, University of Miami had upgraded with relative ease and success.  Most indicated they liked the enhancements.  It was noted that OCLC intends to switch their operating platform in December and encourages users to purge old data before upgrading.  Judy Greenwood noted that she retained the last 5 years of data but purged older information.  She began notifying customers approximately 6 months in advance of the purge.  Some Kudzu librarians indicated a state retention policy which dictated their retention schedule.  The question was raised if anyone noticed a faster response time after purging the data – the overall impression was that it did not.

·         William Gee noted that East Carolina University will have Lanter bags to circulate.  He will distribute them randomly among participants.

·         William also reported that longtime lending librarian Jackie Canon will be retiring and they are unable to fill her position. 

·         Barb Hale indicated that Diane Brim is retiring though they have received authorization to fill the position.

 

7)    Adjournment

No additional comments/issues were raised.  The conference call was adjourned at 3:06pm.
