Collaborative Federal Depositories Program (CFDP) "Best Practices"

Good morning!

I am sending this email to solicit volunteers to assist the Collaborative Federal Depositories Program (CFDP) Steering Committee in developing “Best Practices” supporting documentation for the program.

Topics identified to date include:

 

·         Standards for the cataloging of tangible government documents for inclusion in the CFDP masterlist database.  Note:  The CFDP’s masterlist database includes brief cataloging records and holdings information for the partner libraries.  The database is meant to be as comprehensive as possible for the selected SuDoc classes. This data is made available for use by participating libraries in order to identify gaps in COE collections.

·         Formatting MARC records for export to the CFDP Masterlist and detailing procedures for export using various ILS systems.  The documentation will serve as a resource guide for partner libraries in exporting records from similar systems.

·         Gap analysis methodologies for partner libraries to fill collection gaps that ensure as-comprehensive-as-possible collections. This process includes: identification of potential sources of federal government publications; communication protocols for inquiring into availability; transfer procedures if items are to be contributed by another depository library; and surrogate procedures if the holding institution wishes to retain the original and provide a copy (paper or digital).

·         Cooperative training initiatives to share expertise within the depository community and participate in public awareness and outreach campaigns to promote federal government publications to libraries within the region.  Current area of focus is the development of LibGuides templates to promote the COE collections.
